Client Background

Bissell, a long-standing manufacturing leader, recognized the inefficiencies and risks in their associate onboarding process. With a growing workforce, they sought a modern, automated solution to replace their manual processes, which involved significant time and potential data security vulnerabilities.

The Challenge

Previously, new employees were required to complete an Excel template to provide their personal and banking information. The HR team would then manually enter this data into Oracle for payroll setup and forward it to Concur for expense management setup. This manual, multi-step process was:

Time-consuming for the HR team.
Prone to human error.
Risky due to the unencrypted transfer of sensitive personal information and the lack of supporting workflow.

The Solution

Vigilant collaborated with Bissell to design and implement a secure, streamlined automation process leveraging cutting-edge technologies. The solution encompassed the following:

Custom Web Form Creation: Using AWS Amplify, a secure, user-friendly web form for employees to enter their banking and personal information was developed. Key features of the form included:
- End-to-end encryption to safeguard sensitive data.
- Unique, expiring links for each user, ensuring security and accessibility.
- Automatic regeneration of links after expiration, reducing manual intervention.
Data Capture and Storage: Once submitted, the employee details were securely stored in temporary SQL tables to ensure data integrity and compliance with data retention policies.
Process Automation: UiPath was employed to automate the following:
- Retrieval of submitted data from the SQL tables.
- Automatic creation of employee records in both Oracle and Concur systems, eliminating the need for manual data entry.
Integration with Core Systems: APIs were leveraged to enable seamless data exchange between the custom web form, Concur, and Oracle, ensuring end-to-end automation and real-time updates.
